SURFEX Show 2027 Attendee Terms and Conditions and Code of Conduct

These terms govern registration for and participation in SURFEX Show 2027 (the “Show”), operated by the Stone Equipment Supply Association (“SESA”). By registering for, attending, or participating in the Show, each registrant agrees to comply with these terms and all Show policies.

1. Eligibility Admission and Identification

The Show is a private trade event open only to industry and trade professionals and is not open to the general public. All persons attending the Show must register. Individuals who cannot document a direct professional affiliation with the trade are not qualified to attend. Participation in the Show, including attendance at competitions or demonstrations, is undertaken in the course of the registrant’s employment or pursuit of business interests.

Identification is required for entry and while attending the Show. SESA may require a government-issued photo ID, proof of age, and proof of employment or industry affiliation, such as a business card, company identification card, or verification of employment on company letterhead. SESA may verify the identity of any person accepting or using a Show badge. A person using another individual’s badge will have the badge confiscated and may be required to leave or register correctly.

SESA reserves the right, in its sole discretion, to limit or deny access to, or remove, any person or entity that is not an appropriate part of the industry served by the Show, violates these terms or other Show policies, solicits outside authorized areas, or disrupts the Show. All Show policies are subject to change at Show Management’s sole discretion.

2. Child Attendance Policy

Persons under age 18 may enter the Show floor only under the direct supervision of an accompanying adult age 18 or older, with one adult required for each child. No person under age 18 may enter the Show floor during move-in or move-out, even when supervised. Children under age 18 may not attend classroom sessions. Strollers are not permitted on the Show floor at any time.

Every child, regardless of age, must have a badge and a completed waiver. A child who is not preregistered must be registered onsite. Children are not charged a registration fee. This policy will be strictly enforced.

3. Code of Conduct

SESA is committed to an environment in which all people are treated with dignity, decency, and respect. Every participant in any in-person or virtual SESA event – including exhibitors, attendees, speakers, guests, professionals, media, staff, workers, contractors, vendors, security personnel, and all others who participate in any way – must behave appropriately and comply with SESA’s Anti-Discrimination and Anti-Harassment Code of Conduct.

SESA may deny admission to or remove any participant whose conduct is discriminatory, harassing, unsafe, disruptive, unlawful, or otherwise inconsistent with these terms or the purposes of the Show.

4. Badge Contact Information and Privacy

A unique email address is required for each registration. SESA uses it to maintain the participant directory, communicate about events, products, services, and offerings from SESA, its brands, affiliates, and third- party partners, and support badge-scanning follow-up. When a participant’s badge is scanned, the scanning exhibitor or participant may receive that participant’s contact information, and the participant may receive a list of exhibitors visited onsite.

The registrant grants SESA permission to display the registrant’s company name on SESA websites, in the mobile app, and in other Show materials. Personal information may also be made available to other Show participants through the mobile app.

Some partners and sponsors offer separately elected programs or invite direct engagement. Registering for or participating in such a program, or otherwise expressly engaging with a partner or sponsor, constitutes consent for SESA to provide the registrant’s contact information to that entity so it may communicate about its products or services. The recipient’s privacy policy governs its subsequent use of that information.

5. Photography Recording and Publicity

Photography, filming, or audio recording of another exhibitor’s booth, display, or product is prohibited unless advance permission is obtained from both SESA and the exhibitor whose booth, display, or product will be recorded. The SURFEX official photographer is exempt and may capture images for SURFEX promotional purposes.

Qualified press and any other participant, including exhibitors, who wishes to photograph or film at the Show must check in at the onsite Press Suite, sign the required waiver, obtain authorization on each day of filming, and comply with all conditions imposed by SESA.

Each registrant grants SESA the worldwide right to use the registrant’s name, likeness, biographical information, voice, interview content, image, photograph, and other indicia of persona for trade, advertising, and promotional purposes without review, approval, or compensation. A registrant may request a limitation related to personal safety concerns by contacting registration@surfexshow.com; SESA will consider the request.

6. Educational Content and Intellectual Property

Conference sessions and materials may be protected by copyright and other intellectual property rights. A registrant may not record audio or video of sessions or duplicate, distribute, or share content obtained through Show platforms without prior written permission.

SESA makes reasonable efforts to present accurate and helpful educational content, but provides that content without representation or warranty of any kind. Participants must rely on their own professional judgment when determining whether or how the content applies to their circumstances.

7. Solicitation Literature and Product Distribution

Only contracted exhibitors may promote products, services, or companies at the Show. Except for a contracted sponsorship, demonstration, exhibitor-presented session, or other designated marketing opportunity, all promotion, sampling, and literature distribution must occur within the exhibitor’s contracted booth space.

Prohibited conduct includes roaming solicitation, handing out flyers in aisles or public spaces, approaching exhibitor booths to sell products, and leaving or distributing product information outside authorized areas. This conduct is commonly known as “suitcasing,” meaning that a company or person obtains an event credential and solicits business in aisles or other conference spaces without an exhibit space or other authorization. Violators may be removed and forfeit their badges. Suspected suitcasing should be reported to Show Management or through the mobile app.

8. Meetings Events and Seminars

All meetings, events, and seminars connected with Show participation must be registered with Show Management. Meetings, events, and seminars that are not designated or organized as part of the Show may not take place during Show floor hours or SESA-hosted events.

9. Safety and Facility Rules

Drones, unmanned aerial vehicles, hoverboards, wheeled transport devices, and similar devices are prohibited on the Show floor and in outside areas controlled by the venue, except for mobility devices required by persons with disabilities.

Animals are not permitted at the Show, except service animals, which must remain under control. Questions may be directed to the Attendee Services desk.

All Show areas are non-smoking. Smoking is permitted only in areas outside the building where allowed by the venue and applicable law.

10. Legal and Regulatory Compliance

Participation in SESA events must comply with all applicable laws and regulations, including sanctions administered and enforced by the U.S. Department of the Treasury’s Office of Foreign Assets Control. If a registrant’s country of residence requires additional review under SESA’s internal compliance procedures, the registrant must provide reasonably requested information.

11. Cancellation Substitution and Payment

Refunds may be issued through August 31, 2027. Cancellations submitted between September 1, 2026, and April 30, 2027, will receive a refund of 75% of the registration fee paid. Cancellations submitted between May 1 and August 31, 2027, will receive a refund of 50% of the registration fee paid. Questions and cancellation requests should be sent to registration@surfexshow.com.

If a registrant is unable to attend, the registrant may send a substitute. A substitution must be requested in writing by the original registrant and submitted to registration@surfexshow.com before the Show begins and no later than October 31, 2027.

Credit-card charges will appear on billing statements under the name “SURFEX Show 2027.”

12. Offsite Transportation and Activities

If a registrant uses transportation provided by SESA to leave the Show venue for a site visit, offsite demonstration, or other activity, the registrant knowingly assumes the risks of injury associated with that travel and activity and, to the maximum extent permitted by law, waives and releases SESA and its affiliated and subsidiary entities from claims arising from that travel or activity.

13. Indemnification Release and Limitation of Liability

To the maximum extent permitted by applicable law, the registrant agrees to defend, indemnify, hold harmless, release, and discharge: (i) SESA, SURFEX Show 2027, and their equity owners and affiliates; (ii) the Show facility and its owners, affiliates, lessors, and lessees; and (iii) official exhibit service contractors and security providers (collectively, the “Show Providers”), together with their respective officers, directors, officials, employees, agents, contractors, and representatives. This obligation applies to all alleged or actual claims, actions, lawsuits, proceedings, damages, penalties, demands, losses, expenses, fees, including reasonable attorneys’ fees, costs, or liabilities arising from or connected with Show attendance or participation by the registrant, anyone acting on the registrant’s behalf, or the registrant’s employees, invitees, patrons, or guests. It includes claims arising from an act, omission, negligence, or willful misconduct; violation of a Show Provider’s policy or agreement; violation of law; or infringement of third-party rights, including patent, trademark, franchise, copyright, music, material, device, or dramatic rights, whether or not foreseeable. This obligation survives termination or expiration of the agreement.

SESA will not be liable to a registrant, whether in contract, tort, including negligence, or otherwise, for harm related to participation in the Show, except to the extent liability cannot be limited or excluded by law. SESA will not be liable for consequential, indirect, special, or incidental damages, even if advised of their possibility. These limitations apply regardless of the success or effectiveness of other remedies.
